This Applicant Privacy Notice describes how BlueMoso Inc. ("BlueMoso," "we," "us," or "our") collects, uses, shares, and protects personal information about people who apply to join our virtual assistant roster, and about contractors we engage from that roster.

This notice is separate from the general Privacy Policy, which covers website visitors and clients. Where the two overlap (for example, you visit our website before applying), both notices may apply, and the more specific terms here govern the handling of your applicant data.

Summary. When you apply, we collect what you tell us (contact details, country, languages, links, resume, files you upload, written responses) and a small amount of technical data about your visit. We use it to evaluate your application, match you with clients if you're accepted, and run our business. We share it sparingly — with our team, vetted service providers, and (only with your consent) with prospective clients. You can ask to see, correct, or delete your data at any time.
§ 01

What this notice covers

This notice applies to:

  • information you submit through the BlueMoso apply page;
  • information you give us during skills assessments, interviews, reference checks, and other steps of the evaluation process;
  • files you upload (e.g., resume, portfolio) and links you share (LinkedIn, portfolio, resume hosting); and
  • information we collect about your activity once (and if) you join the roster, to the extent it is not separately covered by your Contractor Agreement.
§ 02

What we collect

Information you give us

Through the apply form and during evaluation, you may give us:

  • name, email, phone or WhatsApp number;
  • country and city of residence;
  • English level and other languages you speak;
  • links to your LinkedIn profile, portfolio, or website;
  • a link to your resume, or a resume file you upload (PDF, DOC, DOCX, RTF, TXT, Pages);
  • a link to your portfolio, or portfolio files you upload (PDF, slide decks, images, archives);
  • hours of availability per week, earliest start date, target hourly rate;
  • your written response describing why you want to work with BlueMoso;
  • how you heard about us; and
  • any other information you choose to share, including during interviews and reference checks.

Information we collect automatically

When you visit the apply page, we may collect technical information such as IP address, browser and device type, operating system, referring page, and pages viewed, for security and analytics purposes. See § 12.

Information from third parties

If you provide a LinkedIn URL or other public profile, we may review the public information on it as part of evaluation. With your consent, we may also collect information from the references you provide.

§ 03

How we use it

We use applicant information to:

  1. evaluate your application, including assessing your skills, experience, and fit with our roster and current client needs;
  2. communicate with you about your application — scheduling assessments and interviews, answering your questions, and informing you of next steps;
  3. verify your identity and, where you consent, check your references;
  4. match you with prospective BlueMoso clients (see § 06);
  5. onboard you and administer the Contractor Agreement if you are accepted;
  6. operate, secure, and improve our application process and the Services;
  7. comply with applicable laws, respond to lawful requests, and protect our legal rights; and
  8. with your consent, send you occasional updates about open roles or roster opportunities.
§ 04

Legal bases

Where Canadian law (PIPEDA), the EU/UK GDPR, or similar laws apply, we rely on the following legal bases:

  • Consent — for submission of your application and most communications related to it, and for any sharing with prospective clients;
  • Steps preparatory to entering into a contract — to evaluate your application and, if applicable, enter into a Contractor Agreement with you;
  • Legitimate interests — to operate, secure, and improve our application process and to protect against fraud; and
  • Legal obligation — to comply with applicable laws and respond to lawful requests.
§ 05

Who we share it with

We share applicant information only with:

  • Our team. BlueMoso employees and contractors who need the information to evaluate, communicate with, or onboard you.
  • Service providers under contract. Vendors that help us run the application process and the Services — for example, hosting providers, file storage, email and messaging providers, applicant-tracking and CRM tools, video-call platforms, and analytics providers. They are permitted to use your information only as needed to provide their services to us.
  • Prospective clients — only with your consent, and only the information needed to consider you for a match (see § 06).
  • Authorities — where required by law, court order, or to protect BlueMoso, our clients, or others from harm or fraud.
  • Successors — if BlueMoso is involved in a merger, acquisition, or sale of assets, applicant data may be transferred to the successor entity, subject to this notice.

We do not sell applicant information, and we do not share it for cross-context behavioural advertising.

§ 06

Sharing with prospective clients

When we believe you may be a fit for a particular client, we will tell you about the opportunity and ask whether you want to be presented. We do not share your identifying information with a prospective client unless you consent. With your consent, we typically share a curated profile that includes your first name, country (not city), relevant experience, languages, target rate, and selected portfolio or resume materials.

Once you and a client begin a paid engagement under your Contractor Agreement, communications and work product exchanged with that client are governed by your Contractor Agreement and the client's own privacy and security policies, not by this notice.

§ 07

International transfers

BlueMoso is based in Canada and most of our clients are in Canada and the United States. Our applicants are typically based in other countries. This means your information will, in the normal course of evaluation and (if applicable) placement, be transferred to and stored in Canada, the United States, and other countries where our service providers operate. These countries may have data-protection rules that differ from those of your country of residence.

Where required, we use appropriate safeguards for international transfers, such as standard contractual clauses or equivalent measures.

§ 08

How long we keep it

We keep applicant data only as long as we need it:

  • Applications that don't move forward. Up to 24 months from your application date, so we can consider you for future opportunities. After that, we delete or anonymise the data unless you have asked us to keep it longer.
  • Active roster members. For the duration of your Contractor Agreement and for as long afterwards as required by tax, accounting, or other legal obligations — typically up to seven (7) years after the end of the engagement.
  • Files you upload (resume, portfolio). Stored with your application and deleted on the same schedule, or earlier on request.

You can ask us to delete your application data at any time by emailing [email protected], subject to our need to retain certain records to comply with law or defend legal claims.

§ 09

How we keep it safe

We use organisational and technical measures designed to protect applicant data, including access controls, encryption in transit, vendor due diligence, and limits on who inside the company can see what. No system is perfectly secure, however, and we cannot guarantee absolute security. We ask that you do not include sensitive personal information (such as government IDs, financial account numbers, or health information) in your application unless we specifically request it.

§ 10

Your rights

Depending on your country of residence, you may have the right to:

  • access the personal information we hold about you;
  • correct information that is inaccurate or incomplete;
  • request deletion of your application data;
  • withdraw a consent you previously gave us (this will not affect lawful processing that already occurred);
  • object to or restrict certain processing;
  • receive a copy of certain data in a portable format; and
  • lodge a complaint with a privacy regulator in your country.

To exercise any of these rights, email [email protected] from the email address on your application. We will respond within the timeframes required by applicable law. We may need to verify your identity before acting on a request.

§ 11

Automated decision-making

Decisions to advance, decline, or match an applicant are made by people on the BlueMoso team. We may use software to help screen, sort, and search applications, but those tools do not make final decisions on their own. Cookies on the apply page

The apply page uses a small number of cookies and similar technologies for essential functionality, security, and basic analytics. For details, see our Cookie Notice. Where required, we will ask for your consent before setting non-essential cookies.

§ 13

Changes to this notice

We may update this Applicant Privacy Notice from time to time. If we make material changes, we will revise the "Last updated" date at the top of this page and, where reasonable, notify applicants who are actively being evaluated. Your continued participation in our evaluation process after the changes take effect indicates your acceptance of the updated notice.
